Kavit — Terms of Service & Privacy Policy

By using Kavit (web or app), you agree to these Terms.

PART A — TERMS OF SERVICE

1. Introduction

These Terms govern your access to and use of Kavit (“Kavit”, “we”, “us”). By accessing or using the Services, you agree to be bound by these Terms. If you do not agree, do not use the Services. These Terms are governed by the laws of India and courts at Jaipur, Rajasthan shall have exclusive jurisdiction.

2. Product status and changes

Kavit is an evolving business-software product. Features may change, be improved, delayed or discontinued. We do not guarantee uninterrupted or error-free operation.

3. Nature of the service

Kavit is a software tool intended to assist businesses with functions such as attendance, leave, salary-related workflows, invoicing, inventory, customer/supplier records, manufacturing operations and reports, depending on the modules enabled for the business. Kavit is not a Chartered Accountant, tax consultant, legal advisor or statutory payroll advisor. Users remain responsible for verifying outputs and meeting applicable legal and tax obligations.

4. User responsibilities

Provide accurate business information and verify outputs before use.
Maintain appropriate independent records or backups for critical business information.
Keep login credentials, employee PINs and paired devices secure.
Use employee/workforce features only with appropriate authority and disclosures.

5. Availability & changes

We may change, suspend or discontinue features; perform maintenance; and migrate or restructure data to improve stability and security.

6. Suspension & termination

Kavit may suspend or terminate access in cases including misuse, abuse, security risk or operational reasons, subject to applicable law.

7. Limitation of liability

To the maximum extent permitted by law, Kavit shall not be liable for indirect, incidental, consequential or business losses including loss of profits, customers, goodwill or data. Any limitation is subject to rights that cannot legally be excluded.

8. Trial, pricing & subscriptions

Kavit may offer a free trial or free-access period for modules available to a business. Current commercial terms, pricing and renewal conditions will be communicated before paid access is required. Pricing and included features may change for future periods.

9. Modifications to Terms

We may update these Terms from time to time. Material changes will be reflected by updating this page and its “Last Updated” date.

PART B — PRIVACY POLICY

10. Data ownership

You retain ownership of the business data you create or store. You grant Kavit a limited right to host, process and use that data to provide, secure and improve the Service.

11. Data we may process

Business profile, store and authorized-user information.
Invoices, items, stock, purchases, payments, customer/supplier records and reports.
Where workforce modules are enabled: employee profile information, attendance events, leave information, work schedules and salary-related records.
Where manufacturing is enabled: fabric, production, job-work, partner/challan and payment-related operational records.
Basic technical and usage logs for security, diagnostics and service improvement.

12. Camera, location and device permissions

Camera: may be used for attendance selfie evidence or supported document/image workflows.
Location: where Attendance requires it, location is used to validate attendance or break events against the configured workplace geofence.
Storage/files: may be used for supported uploads, downloads, PDFs and generated documents.

Permissions are used only for features that require them and are subject to the operating system/device controls available to the user.

13. Attendance selfie retention

Where attendance selfie evidence is enabled, the current Kavit workforce requirement retains that private evidence for 40 days and then deletes the selfie while preserving the attendance history. Access to retained selfie evidence is restricted to authenticated authorized workflows.

14. Data security

We use reasonable safeguards intended to protect stored information. No system can guarantee absolute security. Users must also secure their devices, credentials and access to Kavit.

15. Data retention & deletion

Business and account records may be retained while an account is active and as required for operational, audit, fraud-prevention or legal purposes. Where a feature defines a shorter retention period, such as attendance selfie evidence, that feature-specific period applies.

15A. Optional analytics on the public marketing website

We use Google Analytics 4 on the public Kavit marketing website to understand visits and interactions with demo, free-trial and product links. For visitors whose country is reliably detected as India by Cloudflare, marketing analytics is enabled by default without a separate popup, unless they have opted out. Visitors in other countries, or whose location cannot be confirmed, are asked to opt in before Google Analytics loads. We use Cloudflare's same-origin connection information to determine the country; the website reads only its country code for this choice. Google may process browser and device information, approximate location and website usage, and may set analytics cookies. We do not intentionally include employee records, salary or calculator inputs, WhatsApp recipient numbers or prefilled messages in our custom analytics events. The marketing website works without optional analytics. You can disable analytics or change a previous choice at any time using Analytics settings in the footer. This does not change data handling within the authenticated Kavit application.
