Attendance Software for Small Business in India: A Practical 2026 Guide

What Indian SMEs should look for in attendance software: shared devices, GPS and geofencing, selfie evidence, multiple locations, leave and salary integration.

For many small businesses in India, employee attendance still begins with a paper register, an Excel sheet, a biometric machine or a WhatsApp message.

That may be manageable with a very small team. As the business grows, however, attendance starts affecting bigger questions:

  • Who actually came to work today?
  • What time did employees arrive and leave?
  • Who is on approved leave?
  • What happens when somebody forgets to punch?
  • How do you manage attendance across more than one location?
  • How does all of this finally affect salary?

The right attendance system should therefore do more than replace a register with a digital punch. It should make attendance easy for employees, trustworthy for the owner and useful at salary time.

What should attendance software actually solve for an SME?

A useful attendance system should solve a few practical problems before it tries to become a full HR platform.

Attendance should be simple to mark

For fixed-location businesses such as shops, offices, warehouses, workshops, clinics, factories and restaurants, a shared attendance phone can be simpler than requiring every employee to install an app.

For employees who may report to different approved branches or workplaces, a registered Personal Mobile device may make more sense.

The software should adapt to how employees actually work rather than force every employee into the same attendance method.

The owner should be able to trust the record

A digital punch is useful only when the business can understand how it was recorded.

Depending on the attendance model, useful controls can include:

  • a registered attendance device;
  • GPS and workplace geofence checks;
  • a live selfie captured at punch time;
  • server-recorded attendance time;
  • device and employee binding; and
  • an audit trail when attendance is corrected.

The objective is not to make attendance difficult. The objective is to make the resulting record useful when the owner has to review it later.

Multiple locations should remain manageable

A growing business may have a head office, shop, warehouse, factory or several branches.

Without a central system, that often becomes several registers, several WhatsApp groups and several spreadsheets being reconciled at month end.

Attendance software should let the business configure the locations it actually operates from while keeping attendance visible centrally.

Attendance should connect with leave and salary

Punches are only the beginning.

At salary time, the business also needs to understand:

  • joining and last-working dates;
  • working days and weekly offs;
  • holidays;
  • approved paid and unpaid leave;
  • full days and half days;
  • attendance issues such as a missing punch; and
  • the employee’s salary configuration.

Otherwise the business simply moves the attendance problem from a register into a salary spreadsheet.

Punch → Attendance → Leave → Monthly Attendance → Salary

That is the workflow Kavit is designed around.

Shared Office attendance: one phone can serve the workplace

For many SMEs, the simplest attendance setup is a company-controlled Android phone kept at the office, shop, warehouse or factory.

The employee-facing flow can remain very simple:

Select employee → Take live selfie → Mark attendance

Employees do not need an individual Kavit application account simply to mark attendance on the shared device.

This model can work particularly well when many employees arrive at the same physical workplace every day.

Instead of buying a dedicated biometric attendance machine or requiring every employee to use a personal phone, the business can maintain one controlled attendance point.

Personal Mobile attendance across approved workplace locations

A shared office device is not appropriate for everyone.

An employee may work from Head Office on some days and an approved branch on others. A supervisor may alternate between a factory and warehouse. A manager may be permitted to mark attendance from more than one configured business location.

For such employees, Kavit can use a registered Personal Mobile attendance model. The personal device is bound to the employee on the server so it is not simply a free employee-selection screen.

Personal Mobile attendance is still validated against configured, approved fixed attendance locations. It is not intended as attendance from customer visits or arbitrary roaming locations.

A business can therefore use different attendance policies for different employees:

  • Shared Office only;
  • Personal Mobile only; or
  • both, where the business permits it.

That flexibility is useful for Indian SMEs that operate several fixed workplaces and want some employees to use a shared device while others use an employee-bound Personal Mobile device.

GPS attendance should use a practical geofence

Location-based attendance is useful only when it is configured for the real workplace.

Kavit uses a configured attendance location and allowed radius. The backend calculates whether the attendance event falls inside that allowed area.

The important point is that there should not be one universal radius for every customer. A compact office and a large industrial site may need different settings, and buildings can also differ in GPS quality.

A practical rollout should therefore include real testing at the place employees will actually mark attendance.

A simple location setup checklist

  1. Configure the actual workplace location.
  2. Stand at the normal attendance point.
  3. Test GPS quality on the device being used.
  4. Choose a radius appropriate for that premises.
  5. Test several genuine punches inside the workplace.
  6. Test a clearly outside location as well.
  7. Adjust the site configuration if genuine employees are being rejected.

A geofence that is unnecessarily tight creates frustration. A geofence that is unnecessarily wide loses much of its purpose.

Selfie evidence without turning attendance into face recognition

Kavit requires a live selfie for an accepted physical attendance punch.

The current role of that image is attendance evidence. Kavit does not currently depend on face recognition or liveness matching to accept attendance.

This is an important distinction. A business can have useful visual evidence without making biometric matching a dependency for every punch.

Kavit’s current attendance design keeps selfie evidence private and retains the image for a limited period, while the attendance record itself remains available after the image expires.

What happens when attendance is wrong?

Real businesses have exceptions.

An employee forgets a punch. A device has a temporary problem. An administrator needs to correct an old attendance record.

A practical attendance system should allow corrections without silently destroying history.

Kavit keeps attendance corrections under administrative control and preserves audit history. The employee can view their attendance where Employee Self Service is enabled, but cannot rewrite attendance themselves.

That distinction becomes especially important when attendance later contributes to salary.

Employee Self Service can reduce routine questions

Attendance creates repetitive questions for business owners and accountants:

  • Did my attendance get marked?
  • Was my leave approved?
  • What is my attendance this month?
  • When is the next holiday?

Kavit can provide PIN-protected Employee Self Service on eligible registered attendance devices.

Depending on the modules enabled by the business, employees can access functions such as:

  • My Attendance;
  • Apply Leave;
  • My Leave Requests / Status;
  • Holiday List; and
  • salary or finalized payslip information where the employer enables those features.

The principle is straightforward: employees should be able to see information the system already knows without gaining administrative control over it.

Why salary integration matters

Attendance software becomes significantly more valuable when the owner does not have to rebuild the same information in Excel at the end of every month.

Kavit brings attendance together with employee dates, office rules, holidays, weekly offs, approved leave and salary configuration to produce a salary review that can be checked before finalization.

Attendance issues remain visible instead of being silently converted into salary deductions.

Late and Early information, for example, can be shown as factual attendance intelligence without automatically deciding that every late arrival should reduce salary.

The employer remains in control of payroll policy.

Do you need a biometric attendance machine?

Not every business does.

A biometric machine can still be appropriate for some organisations, but small businesses should consider the total workflow rather than assuming hardware is compulsory.

If a company-controlled Android phone can provide:

  • registered-device attendance;
  • location validation;
  • live selfie evidence;
  • central records;
  • leave integration; and
  • salary review,

then a separate attendance machine may not be necessary for that business.

The right choice depends on the workplace, employee count and attendance policy.

What should a small business check before choosing attendance software?

Use this shortlist before buying or implementing a system.

1. Where do employees work?

One office, several branches, a factory, a warehouse—or a combination?

2. Should fixed-location employees use a shared device?

For many SMEs this is simpler than installing an application on every employee’s phone.

3. Do some employees need Personal Mobile attendance?

Employees who regularly report to more than one approved fixed workplace may need a different attendance setup from employees who always use one Shared Office device.

4. How is location validated?

Look for server-side geofence validation and make sure the allowed radius can be configured for the actual site.

5. Is there useful evidence with the attendance record?

A registered device and live selfie can make a punch easier to review later.

6. What happens when a punch is missed or wrong?

Corrections should be controlled and auditable rather than invisible edits.

7. Does leave connect with attendance?

Approved leave should not have to be manually reconciled from another system every month.

8. Does attendance connect with salary?

If salary still has to be reconstructed manually in a separate spreadsheet, much of the administrative work remains.

Where Kavit fits

Kavit Attendance is designed around the operating reality of owner-managed SMEs: businesses that may have a few dozen employees, more than one workplace and no large HR department.

A typical Kavit customer may have:

  • employees reporting to one office or shop;
  • a warehouse or factory at another location;
  • some employees using Personal Mobile attendance at approved fixed locations;
  • an accountant or owner managing leave and salary; and
  • a need for one central attendance record.

Kavit’s approach is to keep the employee’s daily attendance action simple while giving the employer the controls needed around location, evidence, leave, corrections and salary.
