GPS Attendance for Multiple Locations: A Practical Guide for Small Businesses

How GPS and geofencing can help SMEs manage employee attendance across offices, stores, warehouses and multiple branches without continuous location tracking.

A business with one small office can often manage attendance with a register or a single spreadsheet.

The problem changes when the same business grows into:

  • a head office;
  • two or three stores;
  • a warehouse;
  • a factory or workshop;
  • employees reporting to more than one approved branch; or
  • supervisors moving between approved business locations.

Now the owner is no longer asking only:

“Did the employee mark attendance?”

The more important questions become:

  • Where was the attendance marked?
  • Was the employee at an approved work location?
  • Can different branches use different attendance setups?
  • How should Personal Mobile attendance work when an employee uses more than one approved workplace?
  • Can all of this still remain simple enough for a small business?

This is where GPS attendance and geofencing can become useful.

If you are comparing attendance systems more broadly, first read our practical guide to attendance software for small businesses in India.

What is GPS attendance?

GPS attendance uses the location reported by a phone or attendance device as one of the checks applied when an employee marks attendance.

A simple digital punch may tell the business:

Employee A marked attendance at 9:12 AM.

A location-verified attendance record can additionally help the system determine whether the punch was made from an approved workplace area.

That is particularly useful for businesses that operate from more than one physical location.

But GPS attendance should not mean that an employer needs to continuously track every employee throughout the day.

For most SMEs, the useful question is much simpler:

Was the employee at an approved location when attendance was marked?

That is the role of a geofence.

What is a geofence?

A geofence is a virtual boundary around a configured workplace location.

For example, a business might configure:

  • Head Office;
  • Warehouse;
  • Retail Store A;
  • Retail Store B; and
  • Factory.

Each attendance location has its own coordinates and an allowed radius.

When attendance is submitted, the system compares the reported device location with the configured workplace.

If the attendance event falls within the permitted area and the other attendance checks pass, the punch can be accepted.

This gives the business more control than simply accepting a timestamp from any location.

Why one GPS radius should not be used for every workplace

A common mistake is to think that every business should use exactly the same attendance radius.

Real workplaces are different.

A compact office on one floor may be physically small.

A warehouse or factory may occupy a much larger premises.

A shop inside a dense commercial area may receive different GPS accuracy from an open industrial site.

Even two branches of the same company can behave differently.

So a practical attendance system should allow the permitted radius to be configured for the actual workplace rather than hard-coding one number for everybody.

The objective is to find a sensible balance:

Too tight → genuine employees may be rejected.

Too wide → the location check loses much of its value.

The correct setup is the one that works reliably at the actual attendance point while still keeping the location meaningful.

How Kavit handles attendance locations

Kavit allows attendance locations to be configured for the business.

The attendance device reports its location, but the final geofence decision is made by the Kavit backend.

That distinction matters.

The employee’s phone should not simply declare:

“I am inside the office.”

The server should calculate whether the reported coordinates satisfy the configured attendance-location rules.

For a small business owner, the implementation can still remain simple:

  1. Create the attendance location.
  2. Configure the workplace coordinates.
  3. Set an appropriate allowed radius.
  4. Assign the attendance device to the location.
  5. Test real punches at the place employees normally mark attendance.

The technical validation can remain in the background while the employee sees a simple attendance flow.

Multiple branches do not need multiple attendance systems

Imagine a business with:

  • Head Office — Jaipur
  • Warehouse — Jaipur
  • Store 1 — Jaipur
  • Store 2 — Gurgaon

Without a central attendance system, each location may gradually develop its own process.

One branch keeps a register.

Another sends attendance over WhatsApp.

The warehouse uses Excel.

At month end, somebody has to combine everything.

That creates two problems:

Operational fragmentation — every location works differently.

Salary reconciliation — the owner or accountant has to reconstruct one monthly attendance picture from several sources.

A multi-location attendance system should instead allow each workplace to have its own attendance setup while keeping the resulting attendance visible centrally.

That is the bigger benefit of multi-location attendance.

It is not simply that GPS exists.

It is that different physical workplaces can follow one attendance process.

Shared attendance device for fixed-location employees

Not every employee needs attendance on a personal phone.

For a shop, office, warehouse, clinic, workshop or factory, a shared company-controlled Android phone can be a very practical attendance point.

The Kavit Shared Office flow is deliberately simple:

Select employee → Take live selfie → Mark attendance

The device is registered to the business and assigned to an attendance location.

This model is useful when many employees report to the same workplace every day.

The business can therefore avoid creating unnecessary complexity simply because the attendance system uses mobile technology.

A mobile-based attendance system does not automatically mean:

every employee must install the app.

For many fixed-location SMEs, one shared attendance device may be the simpler model.

Personal Mobile attendance across approved fixed locations

Some employees may report to more than one fixed business location.

Examples include:

  • branch managers;
  • supervisors who alternate between a factory and warehouse;
  • employees who work across two approved stores;
  • staff who split time between Head Office and another branch; and
  • employees who legitimately work between configured business sites.

For these employees, a registered Personal Mobile attendance model can be more appropriate.

Kavit can bind a personal attendance device to one employee and one business.

That means personal-mobile attendance is not simply a screen where somebody can freely choose another employee’s name.

The business can decide which attendance mode is appropriate for each employee:

  • Shared Office only;
  • Personal Mobile only; or
  • both.

This is particularly useful for SMEs that use more than one fixed workplace.

The accountant may mark attendance from the office device.

A branch manager may use a registered Personal Mobile at an approved branch.

Another employee may be permitted to use either Shared Office or Personal Mobile, depending on the employer’s policy.

Kavit’s current Personal Mobile attendance is still tied to configured attendance locations. It is not positioned as attendance from customer visits or arbitrary roaming locations.

GPS attendance should be tested at the real workplace

GPS configuration should not be treated as a desk exercise.

After creating an attendance location, test it where employees will actually stand.

A useful installation checklist is:

1. Test the normal attendance point

Stand at the entrance, reception, shop counter, warehouse desk or other place where employees will usually mark attendance.

2. Test more than once

One successful location reading does not prove that the setup is reliable.

Try several genuine attendance attempts.

3. Check the edges of the workplace

If employees work across a larger factory or warehouse, test the practical working area rather than only the office cabin.

4. Test clearly outside the location

The setup should not only accept genuine punches. It should also reject an obviously invalid location.

5. Adjust the location configuration when necessary

A configuration that repeatedly rejects genuine attendance is not a good configuration merely because the radius looks strict on paper.

The goal is reliable attendance with meaningful location control.

What about GPS accuracy?

Phone location is not perfect.

Accuracy can vary because of:

  • the building;
  • the phone;
  • surrounding structures;
  • indoor conditions;
  • satellite visibility; and
  • the location provider available at that moment.

This is one reason GPS attendance needs sensible validation rather than a simplistic rule.

A good attendance setup should consider both the configured workplace and the quality of the location being reported.

For a business owner, the practical lesson is simple:

test the actual device at the actual workplace before declaring the installation complete.

Does GPS attendance continuously track employees?

It does not have to.

For Kavit attendance, location is used for attendance/security events. Kavit does not require continuous background employee location tracking for ordinary attendance.

That is an important distinction for both employers and employees.

The employer needs enough information to validate attendance.

The employee should not automatically be turned into a continuously tracked moving dot simply because the business wants to know where attendance was marked.

This makes the attendance model easier to explain:

Kavit checks location when required for attendance. It is not designed as continuous employee-location surveillance.

Shared Office and Personal Mobile location behaviour can be different

A shared office attendance phone is usually kept at a known workplace.

Speed matters because several employees may mark attendance from the same device one after another.

A Personal Mobile device is different because it can be carried by the employee between approved workplace locations.

For that reason, the security expectations can also differ.

Kavit’s Personal Mobile attendance model requires a fresh location for the attendance event, while the Shared Office model can use a short verified-location reuse window to keep kiosk attendance fast.

For the employee, none of this needs to make the interface complicated.

The important outcome is:

shared-device attendance remains quick, while personal-mobile attendance receives stronger fresh-location checks.

What happens if somebody uses a fake GPS app?

No attendance system should pretend that a phone can never be tampered with.

Kavit’s Personal Mobile attendance path rejects Android locations that the framework marks as mock/fake before submitting the attendance security event.

The backend still performs the actual geofence validation.

That provides useful protection against ordinary fake-location attempts.

However, sophisticated tampering on rooted or modified devices is a different security problem. Stronger device-attestation technologies can be added as the product evolves.

For an SME, the practical security model should therefore use several controls together rather than rely on GPS alone:

  • registered device;
  • employee/device binding where applicable;
  • server-side geofence validation;
  • live selfie for attendance;
  • server-authoritative attendance time; and
  • audit history.

Why the live selfie still matters

Location answers:

Where was the device?

The selfie provides additional evidence around:

Who appears to have marked attendance?

In the current Kavit attendance workflow, a live selfie is captured for an accepted physical punch.

The selfie is evidence; Kavit does not currently require face recognition or liveness matching to approve the attendance punch.

This keeps the current workflow simpler while still giving the employer useful evidence when reviewing attendance.

Attendance evidence should still remain easy for employees

It is easy to make attendance software overly complicated in the name of control.

Employees should not have to understand GPS coordinates, accuracy readings or geofence calculations.

Their job should remain simple.

On a shared workplace device:

Select name → Take selfie → Mark attendance

On an eligible personal device:

Open attendance → Location check → Take selfie → Mark attendance

The validation belongs mostly in the system.

The employee should see a clear success or a clear reason when attendance cannot be accepted.

Multi-location attendance becomes more valuable at salary time

The real benefit appears at the end of the month.

Suppose a business has 40 employees across three locations.

If every location uses a separate register or spreadsheet, the accountant first has to collect and reconcile attendance before salary work can even begin.

With one attendance system, the business can bring together:

  • attendance events;
  • working-day rules;
  • holidays;
  • weekly offs;
  • approved leave;
  • attendance issues;
  • employee joining/leaving dates; and
  • salary configuration.

The workflow becomes:

Location-verified punch → Attendance → Leave → Monthly Attendance → Salary

That is why Kavit treats attendance as part of a wider workforce workflow rather than an isolated punching application.

When GPS attendance is especially useful

GPS/geofence attendance can be particularly useful for businesses with:

Multiple retail stores

Each store can operate as an approved attendance location while the owner gets central visibility.

Office + warehouse

Office employees and warehouse staff can use attendance setups appropriate to their physical workplaces.

Factory + office

Different premises can have different practical location configurations instead of forcing one universal radius.

Employees who work across approved branches

Eligible employees can use registered Personal Mobile attendance at configured fixed workplace locations instead of relying on one Shared Office device at only one branch.

Growing businesses opening new branches

A new location can follow the same central attendance process instead of creating another manual register.

When GPS attendance may not be the only answer

Location is one control, not the entire attendance system.

Businesses should also consider:

  • how employee identity is established;
  • whether the attendance device is registered;
  • what happens if a punch is missed;
  • who can correct attendance;
  • whether corrections remain auditable;
  • how leave affects attendance;
  • whether attendance connects with salary; and
  • whether Shared Office and Personal Mobile employees need different workflows.

This is why simply advertising “GPS attendance” is not enough.

The real goal is:

attendance that the owner can trust without creating unnecessary work for employees.

Frequently asked questions

Can GPS attendance work for multiple office locations?

Yes. Each workplace can be configured as its own attendance location. Employees then use the attendance method permitted by the business, while attendance remains centrally available.

Does every branch need a separate Kavit account?

The multi-location attendance model is intended to let a business manage its configured workplace locations within its attendance setup rather than maintain unrelated attendance systems for each branch.

Does every employee need Kavit installed on their phone?

No. Employees can use a Shared Office attendance device. Personal Mobile attendance can be enabled for eligible employees who mark attendance at configured, approved fixed workplace locations.

Can different locations use different GPS radii?

They should be configurable according to the actual premises. A small office and a large warehouse should not be forced into one universal attendance radius.

Does Kavit continuously track employee location?

No continuous/background employee location tracking is required for ordinary Kavit attendance. Location is used when needed for attendance/security validation.

Does Kavit use face recognition?

Not in the current attendance acceptance flow. A live selfie is captured as attendance evidence, but face recognition/liveness is not currently required to accept the punch.

Can Personal Mobile attendance be used at more than one fixed location?

Yes, where the employer permits it and the employee is using configured, approved attendance locations. The Personal Mobile device remains employee-bound and each attendance event must pass the applicable location/security checks.

What if an employee forgets to punch?

Attendance issues can be reviewed and corrected administratively with audit history preserved rather than silently changing historical attendance.

Can attendance later be used for salary calculation?

Yes. Kavit’s workforce flow connects attendance with leave, working rules and salary review so month-end salary work does not need to start again from a separate attendance spreadsheet.

A practical way to evaluate GPS attendance

Before choosing a system, test it with your real business.

Do not evaluate only from screenshots.

Try:

  1. your actual office or store;
  2. the phone that will be used for attendance;
  3. several genuine employee punches;
  4. the edges of the premises;
  5. one clearly invalid location;
  6. your fixed-location employees;
  7. one Personal Mobile employee at an approved attendance location; and
  8. the month-end attendance view the owner or accountant will actually use.

If the system works reliably in those conditions, the technology is serving the business rather than the other way around.
